Description

The main purpose of the Document Controller, QHSE position is to ensure the timely, accurate, and efficient preparation and management of QHSE documents. Control the numbering, sorting, filing, storing, reviewing, and retrieval of both electronic and hard copy documents produced and with the ability to spot errors. 

Job Responsibilities

  • Maintaining diaries and arranging appointments.
  • Maintain, and update AMHEC integrated QHSE Manual.
  • Prepare and disseminate correspondence, memos, and forms.
  • Ensure tracking of QHSE documents, history, and evolvement of changes.
  • Prepare monthly QHSE reports & communicate to all concerned parties.
  • Collaborate with departmental heads in implementing QHSE related forms.
  • Prepare and communicate QHSE alerts, and QHSE bulletins as initiated by the QHSE supervisor.
  • Ensure all documentation meets formal required standards versioning and document control.
  • File and update contact information of employees, customers, suppliers, and external partners.
  • Review and maintain the accuracy of the records, editing where necessary to ensure they are up to date.
  • Control the versioning, sorting, filing, storing, and retrieval of both electronic and hard copies of QHSE documents.
  • To raise any Stop Work Authority if there are unsafe acts and conditions within the workplace and report to the relevant manager.
  • Schedule site visits for Q/HSE supervisors and other departmental managers, communicate visit schedule with the client if required.
  • Maintain QHSE training records and schedule upcoming training sessions in coordination with other departments (as per availability of staff).
  • Scheduling QHSE meetings, producing agenda, taking notes, preparing and distributing minutes of meetings (Ensuring meetings are effectively organized and minuted).
  • Performs miscellaneous tasks as assigned by his/her direct manager.

 

Quality, Health, Safety and Environmental 

  • Promotes and disseminates a positive health and safety culture and improves the QHSE climate.
  • Identifies any QHSE risks and recommends and implements measures and solutions to mitigate these risks.

 

Qualifications

  • Minimum 2 years of relevant document management experience.
  • Minimum diploma in QHSE or equivalent.
  • Proficient in Microsoft Office Suite.
  • Excellent written and verbal communication skills.
  • Excellent organizational skills and attention to detail.
  • ISO Implementation standards (9001, 14001,and 45001).
  • Able to work independently.

 

Working conditions
Nature or work may require working beyond standard working hours.

 

Physical/ Travel requirements
Prolonged periods sitting at a desk and working on a computer.
