Job Purpose:

The main purpose of the Coordinator, Rig Move position is to provide administrative support to Rig Move operations with the main focus on Rig Move timesheets, checklists and project completion paperwork, system data entry and tracking sheets.

Duties & Responsibilities:

 

Rig Move Operations

  • Coordinate and assist at the time of rig move project execution, mobilization, demobilization activities both for equipment and manpower.
  • Act as a point of receipt of emergencies, complaints, bottlenecks in service delivery, equipment breakdown, failure, incidents, or accidents etc., document the nature of failure and incidents, notify QHSE and escalate to Manager, Rig Move Operations.
  • Plan of all transport requirements and assist in preparing status reports based on the project execution plan. Coordinate internally with AMHEC Transportation unit, or externally in case of cross hire.
  • Provide all equipment safety and operation checklists, AMHEC time sheets, forms and trip cards and templates to the truck pushers/Operators, and collect the same from them once they return from rig move projects and develop reports, as required, to highlight any issues or commendations:
    • Track and Trace
    • Proof of Delivery
    • Dimensional and damaged shipment issues
  • Ensure that drivers and operators are trained in all HSE policies prior to mobilization or dispatch for rig move projects.
  • Ensure that the rig move fleet reaches the rig site as per schedule by tracking the fleet through the tracking system.
  • Meet on-time delivery (OTD) requirements and follow-on discrepancies with cross-hire suppliers, if any.
  • Continuously coordinate with the supervisors and truck pushers on the ground during rig move and provide support when needed.
  • Coordinate with manpower unit to provide required training and certifications renewals for drivers, operators and rig move team (i.e H2S).
  • Ensure the working condition of trucks and equipment, and accessories prior to any movement.
  • Coordinate with Maintenance team to service or repair any equipment breakdown, failures … etc to ensure that all required services have been performed.
  • Develop periodic field reports and provide the same to Manager, Rig Move Operations.
  • Ensure that drivers returning from trips or projects are available for further trips / projects. 
  • Adhere to all process level policies and procedures as per the approved rig move procedure.
  • Liaise with all departments at AMHEC, as required, to fulfill the objectives of the rig move function.
  • Ensure all required gate passes and permits are in place prior to starting the operation.

Time Management Records

  • Continuously maintain contact with the client personnel at rig sites and AMHEC’s truck pushers, field maintenance team, riggers, and transportation team.
  • Coordinate with the sales department, operators, and the accounting team at AMHEC to obtain daily data on completion of rig move projects and delivery and on upcoming ones, resolve any pending issues/bottlenecks for invoicing.
  • Ensure that overtime sheets for rig move teams are approved and investigate or escalate any discrepancies and after finalization communicates to the payroll department.
  • Understand the scope of services to be provided based on the information from Sales and Operations – Heavy, Light and Transportation divisions.
  • Understand any discrepancies in service delivery, equipment breakdown, failure, incidents, or accidents etc. during project execution.
  • Manage the time sheet and close-out reports (waybill) collection process.
  • Plan and coordinate with the truck pushers to obtain operators and truck’s drivers time sheets as soon as rig moves are completed.
  • Ensure that authorized signatories from the client have signed off on the time sheets and close-out report.
  • Ensure that AMHEC time sheets and client time sheets reconcile and coordinate with AMHEC’s department to fix any discrepancies.

Rig Move Manpower

  • Perform administrative works which include but not limited to:
    • Handles all information in a confidential manner, set priorities and works well under pressure with an attention to detail.
    • Distribute project related copies to internal teams.
    • Retrieves files as requested by department and clients.
    • Manages the flow of documentation within the department.
  • Maintains proper records and user-friendly filing, document control system and database for recording/ tracking of relevant documents.
  • Monitor, prepare, maintain, and amend all manpower related records and documents, i.e. certification and renewals etc.
  • Review all overtime claims and prepare reports accordingly.
  • Assist Payroll Unit by providing relevant employee information, i.e. leave, absence, work schedules etc.
  • Performs miscellaneous tasks as assigned by his/her direct manager.

 

HSE Responsibility:

  • Identifies any Health, Safety or Environmental risks and recommends and implements measures and solutions to mitigate these risks.
  • Complies with established health and safety guidelines and procedures and ensures the health, safety and welfare of self and others.
  • Identifies and reports to management any Health, Safety or Environmental risks and makes suggestions to address these risks and cooperate with his/her supervisor’s instructions.

 

QHSE Authority:

  • Contribute to the QMS: to contribute to the effectiveness of the quality management system (QMS) by implementing processes in accordance with their roles and responsibilities.
  • Participate in Training and Apply Competence: to participate in training programs to develop and maintain the necessary competence for their roles, and to apply their competence to perform work activities and contribute to the effectiveness of the QMS.
  • Follow Procedures and Control of Production and Service Provision: to follow documented procedures and work instructions relevant to their work.
  • Report Changes and Nonconformities: to report any changes in their work environment or processes that could affect the conformity of AMHEC's products or services, report any nonconformities and suggest corrective actions to prevent their recurrence.

 

Qualifications:

  • Diploma in Administration or Human Recourses or any equivalent. Bachelor’s Degree is preferred.
  • Good command in both written and spoken English.
  • Excellent computer and administration skills.
  • Flexible attitude
  • 5+ years of working experience in Industry, Contracting, Heavy Equipment Rental and Oil and Gas contracting sector.
  • Diploma or Bachelor’s degree in any discipline with basic technical (electrical and mechanical) knowledge, information of preventative maintenance etc.
  • 2 – 3 years of working experience in Industry, Contracting, Light Equipment Rental and Oil and Gas contracting sector.
  • Diploma in any discipline.
  • Multi-lingual communication (two or three languages with a good command of verbal and written English)
